Loyalty cards for gyms and studios

For a gym, a yoga studio or a dance school, the best customer is the one who keeps coming. People rarely leave all at once: they skip a week, then two, then stop. A loyalty card that rewards turning up, and notices when someone stops, fits that pattern closely.

How members visit

Regulars come several times a week, often at fixed times or for particular classes. Some pay per visit or buy class packs; others pay a membership. Either way, attendance is what keeps them paying, and a quiet stretch is the first sign that someone is about to leave.

That is hard to follow on paper: finding the member who hasn’t been in for two weeks means leafing through records. With Loyever every visit is recorded on its own, the members list has search and filters, and the reminders below start by themselves when a gap appears.

A suggested card setup

Count visits, because showing up is what you want to reward:

  • Card type: visits, one per visit or class.
  • First reward: a free class, a free day pass or a guest pass for a friend, after 10 visits.
  • Higher rewards for steady attendance, such as a free personal training session at a higher level. One card holds up to three rewards.

A guest pass for a friend makes a good first reward: it costs you little, and it brings a new person through the door. That friend can then add your card to their own phone, too.

Reminders that help

The reminders that notice a change in habit matter most here:

  • Welcome: a short hello from you when a new member adds the card.
  • We miss you: after 21 days without a visit by default. For a gym, this is the moment to reach out, before the habit is gone.
  • Gone very quiet: after 60 days, one last friendly message.
  • Nearly there: when a member is close to the next reward, a reason to book one more class.

Messages go out only during your opening hours, so a reminder arrives when the member could actually come in. Your own messages, up to 150 characters, can carry news such as a new timetable and include the member’s first name: “Rashad, a new evening group starts on Tuesday at 19:00.”

At reception

Set up a shared tablet at the door as a scan-only till device: it can scan cards and add visits, and nothing else. Members show their card on the way in, and each visit is recorded with the device and the location. If a member forgets their phone, staff find them by name.

The cooldown, 30 minutes by default, stops a card being scanned twice on the way in. You can adjust it if members often come back for a second class soon after the first.

On iPhone the member sees “+1 visit” on the lock screen, so they always know how far away the next reward is.

If you use a booking system, the public API, which is coming soon, will let it add visits automatically.
